Recording a No-Show or Late Cancellation in SimplePractice

Record what actually happened to the appointment using the appropriate attendance status, such as No Show, Late Canceled, Canceled, or Clinician Canceled. A missed-appointment fee depends on the client’s applicable signed financial policy and any payer or program restrictions. Do not select a charge code or amount solely because the attendance status is No Show or Late Canceled.

For VA/TriWest Community Care Network referrals, do not charge the veteran for a missed or canceled visit. Mark the appointment accurately and contact billing@helptherapy.com if you need help ensuring no fee is generated.

For other clients, confirm that the signed policy permits the fee and that the appointment uses the correct no-show or late-cancellation service code and amount. If a fee is waived, use the applicable no-charge option or ask billing how to document the waiver. Save the appointment and check the resulting billing item. SimplePractice invoice and card-on-file settings vary, so do not promise a particular overnight invoice or automatic charge.
